Terms of service

These terms cover the Tradeinit platform: the public website, the owner's dashboard, the waiter POS, the kitchen and bar displays, and the ordering, payment and booking pages that run under each venue's own name.

Last updated 12 October 2026

Who we are

Tradeinit is operated by Flexibles AI Ltd, a company registered in England and Wales under company number 16387411, with its registered office at 46 Barn Hill, Wembley, London HA9 9LF, trading as Tradeinit. In these pages "we", "us" and "Tradeinit" mean Flexibles AI Ltd.

You can reach us at hello@tradeinit.com.

Two kinds of user

A venue is a business that signs up to run its ordering, payments, kitchen screens or bookings on Tradeinit. The venue is our customer, and the sections below headed "For venues" apply to it.

A guest is a person who scans a code, orders, pays or books at a venue's page. The guest's contract for the food, drink or booking is with the venue, not with us. The section headed "For guests" applies to guests.

For venues: the service

We host and run the platform. You get access to the dashboard, the POS, the displays and the guest-facing pages for your venue, for as long as your subscription is paid and these terms are kept.

We set you up remotely, keep the platform running, release improvements as they are ready and support you by email. We do not visit, install hardware or manage your network.

Printers, tablets and screens are yours. We tell you which models work and how to connect them; their purchase, warranty and upkeep are between you and the supplier.

For venues: fees

The software fee is a monthly amount per venue, stated on the pricing page or in your quote, excluding VAT. It is billed monthly in advance.

Card fees are charged by the payment provider that holds your merchant account, at that provider's rate, and are not part of our fee. Where Tradeinit's own payment service is offered, its rate is stated in writing before you switch it on.

We may change the software fee with at least 30 days' notice by email. If you do not accept the change you may end the service before it takes effect.

For venues: your responsibilities

Keep your menu, prices, allergen information, opening hours and business details accurate. Guests rely on them and the law requires them.

Keep logins and PINs private. Each member of staff should have their own PIN; the manager PIN approves voids and refunds and should be held by a manager.

Use a merchant account that is yours and in good standing. Refunds, chargebacks and disputes on your takings are handled under your agreement with that provider.

Comply with the law that applies to your business, including food information, allergen, consumer, licensing and tax rules.

Do not use the platform to send unsolicited marketing, to process payments for goods you do not supply, or in any way that is unlawful or harms other users of the platform.

For venues: payments and payouts

Guest payments are taken by the payment provider connected to your venue and settled to your merchant account under that provider's terms and timings. We confirm each payment with the provider before the order is created, so an order that reaches your kitchen has been paid unless it was placed on the POS to be paid later.

We are not a bank and do not hold your money. Where Tradeinit's own payment service is used, it is provided through an authorised payment institution whose terms you accept when you switch it on.

For venues: term and ending

There is no minimum term. You may end the service at any time by email; the service ends at the close of the month already paid for. We may end or suspend the service on notice if fees are unpaid for 14 days after a reminder, if these terms are broken in a way that is not put right within 14 days of our notice, or immediately where the use is unlawful or endangers other venues.

When the service ends you may ask for an export of your orders, menu and bookings within 30 days. After that we delete the data except where the law requires us to keep it (see the privacy policy).

For venues: availability and support

We aim to keep the platform available at all times and we monitor it continuously, but we do not promise uninterrupted service. Planned maintenance is done outside UK trading hours where possible. If the platform is unavailable, QR ordering pauses for guests and nothing is charged; your card machine and printed menus keep working.

Support is by email at the address above. We reply within one business day and usually sooner, and we watch first services with new venues.

For venues: liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything that cannot be limited by law.

Otherwise our total liability to a venue in any twelve-month period is limited to the software fees paid by that venue in that period. We are not liable for lost profit, lost trade, lost data that you could have exported, or losses caused by your network, your hardware, your payment provider, or information you entered incorrectly.

For guests

When you order, pay or book on a venue's page you are dealing with that venue. The venue is responsible for the food, drink, service, allergen information and booking it offers, and for any refund. We provide the technology and the record of the order.

Your payment is taken by the venue's payment provider. Card details are entered on the provider's secure form and are not stored by Tradeinit.

If something is wrong with an order, tell the venue there and then. If you cannot reach the venue, email us and we will pass it on with the order record.

Our privacy policy explains what we do with your details.

Intellectual property

The platform, its code, design and documentation belong to us. A venue's menu, logo, colours, photographs and data belong to the venue, which gives us permission to display them on its pages and to process them to provide the service.

Changes to these terms

We may update these terms. Changes that matter are notified to venues by email at least 30 days before they apply. The date at the top is the date of the current version.

Law

These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction.
