Stock and end of day

The shelf, counted by the till

Every sale takes stock off the shelf; every delivery, stocktake and correction is a movement with a name and a reason. At the end of the day one press closes the till with a numbered Z report, printed and in your inbox.

What you get

Built for the shift, not the demo

A ledger, not a number

What is on hand is the sum of the movements, so it is always true and always explained. Nothing is typed over.

Deliveries and stocktakes

Scan a delivery in with its cost. Count a shelf and post the count: every difference becomes a stocktake movement with the counter's name.

Corrections after the sale

Rang the loaf as a bottle of wine? A manager corrects the line. The receipt and the money stay as they were; stock, category and VAT move, and the correction is listed.

X and Z reports

The X report shows the open period any time. Close the day and the Z report prints with a running number: takings by how they were paid, VAT by rate, discounts, refunds, voids, cash expected in the drawer.

VAT by rate

0%, 5% and 20% per category or product. Receipts mark each line with its rate and print the VAT for each; the report does the same for the day or the month.

Low stock and margin

A reorder level per product turns it amber when it gets there. With cost prices in, you see stock value and margin by product and category.

On a real night

How it runs on a busy service

  1. 1
    Set the opening numbers

Tick Track stock on the products you want counted, do one stocktake, and the shelf matches the system.

  2. 2
    Trade

The till takes products off as they sell and puts them back on a void. Deliveries go in as they arrive, with their cost.

  3. 3
    Fix what staff got wrong

On the Sales page, Correct a line: pick what it really was and why. Stock and the reports follow; the sale itself is untouched.

  4. 4
    Close the day

Press Close the day. The Z report prints, lands in your inbox, and the next period starts from that moment.

Questions

Stock and end of day, answered plainly

Can I change a sale after it is made?
You can correct it, not edit it. The correction records what the line really was or what VAT it counts at, with your name and reason; the original sale, receipt and payment stay as they were. That is what keeps VAT returns and bank statements reconcilable.
Does a refund put stock back?
A refund is money only today. Put the product back with a Returned adjustment on the Stock page, or a correction if it was never sold.
What is the difference between an X and a Z report?
The X report is the open period, live, as many times as you like. The Z report closes the period: the figures are frozen under a running number and the next period starts.
Can the report be emailed to my accountant?
Yes. Email me sends it to your login; Email the report list sends it to everyone ticked to receive reports on the Team page. Any date range works for the month end.
Does it do ingredients for a restaurant?
Not yet. Today it counts whole products: bottles, cans, packaged goods, anything with a barcode. Ingredients, recipes and use-by dates are a later module.
